Abrazar las herramientas digitales es una decisión de negocio esencial para lograr mejores resultados. Esta es la conclusión que ha llegado Novo Nordisk México, que eligió las firmas electrónicas para acelerar la aprobación de nuevos contratos en su despacho en México.

Novo Nordisk es una de las mayores organizaciones farmacéuticas del mundo y está presente en México hace más de 15 años. La empresa firma cientos de documentos y de contratos cada semana. Todavía, asegurar la seguridad y la conformidad jurídica, además de un proceso de revisión y aprobación de contratos rápido era un punto de conflicto entre los equipos legal y comercial.

Al buscar el origen de los conflictos para intentar solucionarlos, la empresa ha descubierto una serie de inconsistencias. Por ejemplo, almacenamiento en desorden, pérdida de documentos firmados en físico e incluso documentos faltantes. Todo esto demandaba una gran cantidad de gente para revisar y gestionar el proceso de elaboración, revisión, firma y archivo de contratos.

Entonces, Novo Nordisk recurrió a la tecnología de firmas electrónicas de Docusign.

Al evaluar las oportunidades de optimización de los procesos, Novo Nordisk identificó que un 90% de sus contratos se podrían se convertir en el formato electrónico.

Con Docusign eSignature, la farmacéutica ha podido automatizar procesos al integrarse con otras aplicaciones utilizadas por la empresa, convertir el flujo de aprobaciones en el formato digital y además ofrecer un repositorio centralizado desde donde el equipo legal puede buscar el historial y mantenerse en conformidad con los procesos de auditoría.

La solución permitió al equipo legal aprobar y firmar los documentos y contratos más rápido: en solo 6 horas. Con una decisión de negocio clara, la transición se hizo con los documentos de menor riesgo y se fue ampliando a todo tipo de documentos, acuerdos y contratos de bajo riesgo. Luego los resultados inspiraron otros países a adoptar la tecnología.

Simplificar, centralizar y asegurar el cumplimiento

La validez jurídica de las firmas electrónicas era una de las cuestiones más importantes del proceso. Sin embargo, al evaluar el escenario general, Novo Nordisk México reconoció que la adopción de las firmas electrónicas es una decisión de negocio.

Con procesos automatizados, los equipos pueden dedicarse a revisar temas más complejos, temas de cumplimiento más serios y de alto riesgo, sin afectar la operación y sin tardar la entrega de la información.

Resultado: El tempo de aprobación de nuevos contratos se redujo a 6 horas en promedio, ahora que casí un cuarto de los documentos son firmados en electrónico. La experiencia también cambió, con un cierre de contratos más ágil y equipos más felices.

Docusign’s SSL (secure sockets layer) certificate used for our DEMO, NA1, NA2, NA3 and EU environments occasionally expires (every 2 years). When the SSL certificate is set to expire a new SSL certificate will be used. That means If you have custom API, Connect, or any other system integration that depends on Docusign’s SSL certificate then contact your IT department's network administrator to update the certificate to ensure seamless functionality.
