About digital transformation
  • Digital transformation refers to how digital advancements are used to change an organisation.
  • Digital transformation focuses on various aspects of an organisations value proposition, grouped by three key pillars: customer experience, operational processes and business models.
  • Although driven by technological improvements, organisational change is a critical success factor in digital transformation.
The services available in Office 365, a cloud based platform hosted by Microsoft, offer various capabilities that can be utilised in document centric scenarios. Transforming document and process management scenarios into the digital era is nearly effortless as a result of the capabilities offered by the Office 365 platform. Nearly effortless, as getting documents signed proves to be a disruptive factor when digitalising the entire lifecycle of a document. This has changed with the introduction of DocuSign to the Office 365 platform. This blog will showcase 3 practical digital transformation scenarios in which the capabilities of Office 365 and DocuSign are leveraged.
For Marketing & Sales: Sales Productivity
Dynamics CRM is a platform used to manage relationships between your organisation and customers from various perspectives, including Sales and Marketing. Utilising the functionality provided by DocuSign, customers can be requested to sign contracts stored in CRM. Besides resulting in faster closure of deals, an organisation is always up to date on the sales pipeline via dashboards.
Unstructured collaboration is facilitated via the social capabilities offered by Yammer. Conversations can extend throughout the organisation, which yields valuable input from those without direct CRM involvement. With the release of Social Listening, conversation and sentiment on social media can be monitored. This stimulates customer intimacy and offers the possibility to turn sentiment into leads.
For Delivery: Project Collaboration
Project Sites in SharePoint Online are a great way to collaborate. The external sharing capabilities offered by SharePoint, allow collaboration with users from outside the organisation without any technical hassle. Combining this functionality with the document management features offered by SharePoint, all parties involved can collaborate based on the same information. If this collaboration involves documents that require a signature – for example a contract, technical drawing or transmittal – project timelines and project quality are impacted positively by using DocuSign. As content might involve intellectual property, Information Rights Management can be used to restrict actions that users can execute on content.
For Procurement: Contract Management
When combining features available in SharePoint Online and DocuSign, various contract management scenarios arise. By utilising the Document Set functionality, contracts and related documents can be stored in a dossier. Metadata can automatically be shared between a Document Set and the documents stored inside, which results in better data quality without any additional effort. This metadata can include information related to contract parties, such as company name and address, which is often stored outside SharePoint in a line of business application. The Business Connectivity Services (BCS) component makes this information available in SharePoint. In order to speed up and standardize the document creation process, metadata can be re-used in predefined document templates. Furthermore, this metadata is leveraged for reporting and retrieval purposes. Implementation of DocuSign will decrease time needed to reach an agreement.
