How does Acteva, the on-demand online event registration, ticketing and payment management services provider, employ electronic signature from DocuSign for Salesforce to accelerate its contract signing process?

How does Acteva, the on-demand online event registration, ticketing and payment management services provider, employ electronic signature from DocuSign for Salesforce to accelerate its contract signing process?

Integrating DocuSign for Salesforce into its Salesforce CRM for a complete e-signature contract execution system has reduced the time to create contracts by one-third and has accelerated the contract signing process from 48 hours to 15 minutes. This saves significant time, as Acteva processes between 600 to 700 large custom event contracts annually.

Acteva had sought a solution to streamline its manually intensive contract management practices and provide management visibility into the sales process. The organization needed to consolidate activity through its customer relationship management system, Salesforce CRM, as they did not want to incur additional IT expenditures. Finally, Acteva was faced with at least 20 percent of its signers marking up the physical documents for changes, making the process more time-consuming for Acteva sales people.

Acteva resolved these issues with the DocuSign for Salesforce with Dynamic Documents powered by Drawloop solution. DocuSign, in collaboration with Drawloop, developed a complete solution for Acteva.

DocuSign for Salesforce allowed Acteva:

To run its contract management workflow directly from the Salesforce CRM console—from document generation through signing to storage and retrieval.

To generate a contract based on elements from the customer’s data in Salesforce CRM and type of contract needed.

To utilize drop down options that auto-populate a contract and any necessary addendums.

To assign the contract e-signing routing order throughout the contract lifecycle.

To access all executed contracts, stored online by DocuSign, with a click.

To generate contracts in fewer than 10 minutes. Contracts previously took Acteva sales staff 30 minutes to generate.

To receive e-signed contracts within 15 minutes. Previously, signed and returned contracts took an average of two days.

To have complete visibility into its contract process. Using DocuSign via the Salesforce CRM console, management knows the who, what and when for each contract, at any given time.

The DocuSign Electronic Signature Advantage

After reviewing several solutions, Acteva selected DocuSign based on the following key criteria:

Ease of Use—DocuSign is easy for Acteva to create contracts for client e-signature, and just as simple for the client to sign electronically. This intuitive service closely replicates the traditional signing experience, creating a positive client experience.

Compliance—With DocuSign, contracts are secure PDFs. Clients cannot revise ad hoc, ensuring 100 percent compliance for all signed contracts.

Real-time Visibility—DocuSign reveals the signing status of every agreement in real-time including, when it was opened, when it was signed, the time the transaction has taken, and which agreements remain to be signed—enabling Acteva to manage its channel and sales staff more effectively.

CRM Integration—By employing DocuSign for Salesforce, Acteva can now Close it in the CloudTM without leaving its CRM system, accelerating close times to hours. DocuSign automatically populates Salesforce data sets into its service which eliminates the need to re-key data. Using the tools in Salesforce, Acteva can create contract status reports.

Workflow Management—DocuSign automated many workflow processes for Acteva. For example, the entire contract signing process from generating the contract through the signing process is less than one hour and clients are less apt to delay the signing process as contracts are in PDF format.

By streamlining its manually intensive contract management practices and provide management visibility into the sales process using the electronic signature solution, DocuSign for Salesforce, Acteva saved significant time in its contract process.

With technological advances, such as electronic signature, we can create and implement paperless processes. Any information that comes into the office on paper, such as via fax, can be digitized with a scanner. Once you’ve input the data into your customer relationship management (CRM) software, you can shred and recycle the paper documents. This keeps your desk uncluttered, and you can have additional visibility into your sales process and prospects.

Why bother with a scanner and data entry? With an electronic signature and online contract execution service like DocuSign, paper documents for signature never have to enter your office again.

You no longer need to type up a contract or disclosure, fill out the signer information, mark ‘x’s next to spaces for the necessary signatures and initials, fax the documents and wait. You can keep waiting while your signer gets the fax from the fax machine, reads the documents, signs and return faxes it back to you. Alternatively, your signer might set it aside on his or her desk, intending to get to it later and finally signing after you followed up half a dozen times.

Wouldn’t you prefer to just upload a document, fill out information about your signer(s), and have the DocuSign system send them an email with a secure link? Once your recipients click the link and the system authenticates them, they simply need to click to acknowledge that they are using electronic signature and adopt their own unique electronic signatures. Then, they read the documents and click to ESIGN where you’ve placed yellow stick-e-tabs. This process can take minutes instead of days. You’re now free to pursue more business.

Electronic signature and online contract execution saves DocuSign’s real estate customers significant time and money. Other organizations that have realized time and operational cost savings with the use of electronic signature and online contract execution include Yamaha, Great Lakes, RE / MAX, and Bellco Credit Union.

What technologies are you using to improve your productivity?

The Cloudforce Tour is salesforce.com’s regional city tour for customers, prospects and developers to help them get more productive on the force.com Cloud Computing Platform. He went to Atlanta, Santa Clara, New York City, and Boston. DocuSign sponsored the latter three. Other companies that attended included Seattle-based Starbucks, Facebook, Business Week, Orange Mobile and many others.

Ken learned a number of things on the tour… not the least of which is that Marc Benioff, salesforce.com’s CEO at approximately 6′7”, is a giant of a man with a giant idea. His idea is to do for business computing what LinkedIn has done for professional networking. LinkedIn has taken professional networking from in person, phone and email direct connections up to the Cloud. People can learn from each other and share their expertise, connect with each other and discover opportunities within their networks. The paradigm shift powered by salesforce.com with its force.com Cloud Computing platform expands a sales management tool via a Cloud Computing business process platform that eliminates companies’ need for data centers and IT staffs to run them. Force.com is far more than CRM, it’s truly a Business Computing Platform in the sky…

Flashback to 2004: What was the Timing of Convergence between Social Networks and systems in the Enterprise?

The big question was: “Were social networks a time sink, or were they helping employees be productive?” Flash forward to 2009 and it’s now clear that Mashups provide an example of social networks having a place in the enterprise. For example, combining Customer Service Portals on Force.com and Facebook has resulted in a mashup that allows its users to track relevant conversations, adds to the corporate knowledge base and then shares that information with the relevant community. The ability to sift social networks for highly actionable enterprise content and leverage the wisdom of the crowds for the enterprise is now seen in actual implementation…the convergence between social networking and enterprise computing is real.

Back in the day, customers used to call if they had questions. With the advent of the Internet and as search engines such as Google indexed the web, customers googled for the answers they sought. Now, customers turn to social networks to ask ‘similar others’ for help and get answers their questions and deal with problems. The social network works out the problems and as conversations hit a critical mass, the convergence of IT and knowledge base enables customer service operations to be aware of these conversations. Cloud Computing Mashups have enabled businesses to glean real world actionable knowledge and leverage the wisdom of the crowds.
Social networking came out of the dot com bust. These next 12 to 18 months we’ll see people searching for better ways of doing and not just doing. This means many innovative ideas and lots of innovation. As the economic grip tightens, people are thinking of new ways to do old things better, using technology. One of the big questions on everyone’s lips is how to find better, faster and cheaper ways of doing things we do everyday? Force.com is a tool that can be used to answer that question.

Launched at Dreamforce 08, the annual salesforce.com user conference each November in San Francisco, DocuSign’s fully integrated Salesforce solution, available on the force.com AppExchange, is called DocuSign Connect for Salesforce: QuickStart. These regional Cloudforce city tours gave DocuSign an opportunity to engage business communities that may not have had the opportunity to come to Dreamforce… and the reception was fantastic. DocuSign is the leader in electronic signature and contract execution services and combined with the power of Salesforce offer significant value to companies that use both solutions. With DocuSign, the electronic signature we collect confirms the data in contracts, HR documents, or anything people sign. The value of DocuSign is in the electronic signature and contract execution process, or the collection and management of data. If we can wrap our heads around the fact that we no longer need paper, we realize that we can collect and correct data throughout the process, shortening the round-trip of the data, driving shorter cycles, gaining greater visibility and achieving all the efficiencies of not producing, printing, shipping, receiving managing and storing of paper!

How does taking paper out of the process affect YOU?

DocuSign Connect for Salesforce is where No Paper meets No Software. For Enterprises, we take paper out of the sales and HR process, which means that an organization (your organization) no longer needs to produce, ship and store documents. Before DocuSign, data would be locked up in physical documents and once agreement was reached, would need to be rekeyed and entered into a database. With DocuSign’s Enterprise Class electronic signature and electronic contract execution process all transactions occur online with robust workflow processes and automatic real time updates… that means that the data captured in the electronic contract execution process is already online, secure, easy to find and easy to use!

Because of Cloud Computing, we’ve seen a Facebook and Salesforce mashup create value resulting in customer delight. The mashup with Salesforce and DocuSign Connect for Salesforce provides:

End-to-end cloud-based contract execution built directly into the Salesforce workspace

Real-time contract status updates – know where your deals are at any given moment

Full DocuSign document sending capabilities embedded into Salesforce – so your salespeople can stay in a single workspace

Direct data mapping which eliminates the need to re-key information driving massive efficiencies and speeding up your pipeline

The clear message from the Cloudforce Tour is that new and innovative ways of doing business in a fast paced world with a compressed economy are emerging every day. DocuSign Connect for Salesforce is a world class Mashup that speeds up the sales process, provides real time visibility into your pipeline of business and drives a wide array of efficiencies that organizations realize from day one. Over and over again attendees who saw DocuSign in action at Cloudforce said “I gotta have that!”
Ken’s favorite quote from the event was from a large Enterprise customer who said “Wow, with what we’re already doing in Salesforce your solution really will help my teams ‘Close it in the Cloud!’… with (DocuSign Connect for Salesforce) we can get rid of all of our filing cabinets and really build a paperless Enterprise!”

Source: CRM magazine

This visualization describes the level of risk associated with various types of projects, depending on the state of the economy. Essentially it defines what is important to businesses in 4 quadrants.

I think most would agree that our economy is in the ‘weak’ column. This chart shows that companies like DocuSign need to align to a shift in customer focus to Compliance and Efficiency quadrants. This is actually excellent news because DocuSign is really ABOUT these two quadrants, and our benefits list reads like the bullets there. Our customers are seeking electronic signature and online contract execution services because DocuSign enables them to be more efficient, and improve compliance, and save money. In a previous DestinationCRM article Yamaha’s SVP of Finance Adminstration, Brian Jemelian discussed his experience with DocuSign:

Another surprise was the improvement in accuracy and visibility that the automation brings to Yamaha and to the process.

The article also makes some interesting statements that I can relate to this year. CEO Umberto Milletti of InsideView says “Customers right now are looking for guidance and a way through the recession.” This is very true, and the value DocuSign brings with our experience cutting costs for large Fortune 100 companies comes in very handy in times like these. DocuSign is a proven tool saving literally millions for our customers each year.

Also B2B market researcher Dan Adams says “Executives need to step back and say, ‘Where am I wasting resources?’” This is a critical question when companies need to tighten the belt. What we have found is that unlike other solutions which have a net cost to an organization for increased operational efficiency, DocuSign actually costs less than what they were doing before! The way we do this is to REPLACE the ‘wasted costs’ such as FedEx, re-keying data, scanning, and manually storing and handling paper. Smart companies can deploy DocuSign, cut back on these costs, and actually be MORE efficient in a matter of weeks.

The article is very bullish on SaaS offerings like DocuSign because they require no infrastructure investment, and can be deployed and have an impact rapidly – very important in this economy. For example, overnight delivery costs and manually processing documents have been increasing in cost due to high fuel prices. These transaction costs can add up fast and hit your profit margin really hard because they are tied to every transaction you do. With DocuSign, that cost will be reduced immediately.

To help you realize cost savings and beat the overnight shipping rate increases NOW, we’re currently offering a special deal – give me your 2008 overnight shipping bill, and I’ll set you up with a DocuSign account for 20% of that cost for the same volume of business, and I’ll deliver it round trip much faster! 80%.

Regarding an increasing focus on compliance, DocuSign’s Chief Legal Officer, Ken Moyle, has written a white paper that describes the DocuSign electronic signature in the context of state, federal and international standards for legal and enforceable electronic signatures. You should expect to hear more from Ken, as he’ll be joining me on the blog, providing his insight to how ECE can dramatically lower compliance risk and cost.

In these challenging times, DocuSign usage is growing quite rapidly despite the economy – due directly to our extremely positive and rapid impact on our customer’s bottom line. For smart companies it is almost like DocuSign is an ‘antidote’ to this down economy.

DocuSign’s January sales and marketing meeting started yesterday. This three day meeting covers what we plan to execute on in 2009. While we’re making plans for the future and celebrating our accomplishments from 2008, I wanted to share with you some of the posts about the more interesting happenings of last year.

Back in June, Jet fuel was over $4.00 per gallon on the US Gulf Coast. Even though I don’t fly a jet (I use DocuSign, of course!), FedEx flies many on behalf of its customers. With this year’s rate increases, the cost of overnighting documents is climbing. DocuSign’s electronic signature service will save you money when compared to FedEx, UPS, or any other overnight delivery service for contract execution.

In September, real estate broker and blogger Kevin Boer discussed how he’s saved his clients time, effort, paper and ink by using DocuSign. Even though his clients travel frequently, all they need is Internet access to execute contracts. He even shared a power point presentation about electronic signatures. Kevin was one of many who blogged, made videos, or otherwise talked about DocuSign

We introduced a new suite of application integration services, DocuSign Connect, in November. DocuSign Connect enables SMBs, enterprises and vendors to integrate DocuSign’s electronic signature and online contract execution platform into any 3rd party or in-house business application, including CRM, ERP, ERM, BPM, and CLP systems. DocuSign delivers the full ‘contract execution process’ (ECE), and saves customers literally thousands of dollars per month by automating and streamlining a highly labor intensive set of manual steps involving postage, scanning/imaging and rekeying data.

The year ended with an announcement from Deutsche Post, the parent company of DHL, that it was shutting down its US delivery operations and cutting 9,500 jobs. Stock market opinion and analysis website Seeking Alpha commented, “After several years of trying to boost its market share, DHL decided that the continued costs of operating their delivery infrastructure did not justify the benefits of having 4% market share. While no one ever likes to see job cuts, in a world when we can easily fax or email documents, how many national overnight carriers do we need?” With technologies like DocuSign’s to provide a secure, reliable way to “ship” documents at a fraction of the cost, how many overnight carriers are really necessary?

Now that 2009 has started and overnight shipping rates have increased, there are more reasons than ever to use electronic signature and online contract execution services like DocuSign. Companies can literally save millions of dollars in overnight shipping expenses. Besides the TREMENDOUS cost savings, companies can complete deals light years faster when compared to the traditional shipping and mailing process, meaning in hours and minutes versus days and weeks. Completed documents also come back error-free and archived for easy retrieval and review.

Perhaps most importantly, leveraging a technology like DocuSign keeps companies environmentally responsible because it eliminates the need to use paper, faxes and/or fuel required for shipping and mailing. In this economic climate, every business must become more efficient. Finding ways to cut costs and accelerate growth will help leading organizations to be more competitive, more secure, and much, much more efficient. DocuSign can help you do both.

At the Dreamforce conference here in San Francisco the story is all about the ‘Cloud’ – and more specifically the Platform as a Service (PaaS) in the Cloud and the power of this new environment.

This year at Dreamforce, CEO and visonary Mark Benioff talked in his keynote about the arrival of cloud computing, and played up the advancements they have made by allowing applications that really go beyond CRM to be built on the force.com platform. Mark also talked about the power of interconnecting ‘cloud services’ to create even more powerful applications.

For example, he demonstrated interconnections to Amazon for storage and compute capacity, Facebook for social communication, and Google for interactive applications and mapping. The message here is that by leveraging the best tools from different clouds, a business can create more powerful and flexible solutions to meet their needs. All very interesting.

Completely in-line with this sort of ‘interconnect for the best of the best’, DocuSign quietly demonstrated an integration of leading Electronic Contract Execution platform ‘Cloud’ service to Salesforce. Now, the most powerful Cloud system for managing business data(force.com) is interconnected with the most powerful Cloud system for Electronic Contract Execution (DocuSign).

One big way is the data reporting that is now possible. You can now literally ’see’ every single transaction, data field and step happening across your organization using Salesforce dashboard technology. This is true for contracts sent by users from Salesforce, but ALSO by ANY contract creation system using your DocuSign service for ECE. This means your ecommerce site that generates new accounts for you can be tracked. Remote signing by users who don’t have Salesforce accounts, etc. It centralizes everything.

So, as they were saying at the Dreamforce event – ‘the future is here’.

This week, DocuSign announced DocuSign Connect which is a suite of application integration services that allow SMBs, enterprises, and vendors to integrate DocuSign’s electronic signature and online contract execution platform into any 3rd party or in-house business application; including CRM, ERP, ERM, BPM, and CLP systems.

This week’s announcement is an excellent example of how we are expanding DocuSign’s award-winning platform to include a broader set of core capabilities.

Together the DocuSign Connect Service & API enable complete contract workflow within DocuSign while dynamically extending DocuSign into a company’s other critical business applications. The system also delivers a myriad of other features, including real-time contract status, contract data changes/updates, etc.

Perhaps most important, DocuSign Connect illustrates exactly why DocuSign stands apart from the rest of the market. The system establishes DocuSign as much, much more than a pure play ‘esign vendor’. We’ve moved WAY beyond the simple ‘just get a signature’ to facilitating the entire contract execution process. And great evidence of this is in our customer feedback.

With DocuSign’s technology advancements over the past year we are now enabling the entire electronic contract execution (ECE) phase, helping companies move abandon traditional and disjointed manual and paper contract execution process to fully digital processes.

Yes, the ability to obtain a signature electronically unlocked this new capability, but it is really only one part. ECE is similar to, but really extends to several other large markets such as BPM, CLM, and CRM. Consider a few of the core elements of a true ECE system – and the enormous impact this can have on any business:

Conversion of existing documents and forms into secure managed objects that can be automatically assigned workflow processes and can be sent from desktops, ecommerce applications, or integrated into other critical systems that send contracts for signature to ensure transactions are executed from start to finish in a managed fashion.

Creation of complete ’signing workflow’ templates which dictate all aspects of how the transaction is to complete.

Enabling secure, managed transport of contracts, forms, and data through a sequenced workflow to recipients that may be internal and external – at the speed of light, worldwide.

Providing a full managed data collection process, including masking using regular expressions, assignment of data collection to specific actors in a transaction, and the return of this data back programmatically to downstream applications without rekeying.

Enabling recipients to receive transaction documents and forms, with the ability to display, automatically navigate from key field or signature to the next and sign using a process that is both easy and familiar to the paper process, and withstands legal requirements of the most stringent laws.

Deep integration on both the document creation and sending sides, as well as the recipient delivery and completion side of the equation.

Aggregates authentication capability enabling full FFIEC compliant multi-layer authentication which is tightly integrated into the data and audit log (which is also secured to ensure legal admissibility should there ever be a challenge).

A ‘Cloud computing’ solution rather than technology installed behind a firewall.

With these (and more) capabilities, DocuSign delivers the full ‘contract execution process’ (ECE), and saves customers literally thousands of dollars per month by handling what is done usually in a set of manual steps involving postage, scanning/imaging, rekeying data, and lots and lots of labor.

As the economy tightens and every business is forced to be more efficient ECE will stand out as the way for leading organization to be more competitive, more secure, and much, much more efficient.

I am headed back from Enterprise 2.0 conference in Boston where I was on a panel to discuss Enterprise 2.0 and its growth. I knew my perspective from DocuSign was going to be a little different than some of the mainstream “Enterprise 2.0″ thinking. I was not talking about FaceBook.com for the enterprise or social networks where people can share ideas and thoughts. Interesting ideas in their own right, but not what we do.

Different because DocuSign is not a social network. We are very focused on streamlining the last step in business transactions that take place between people ? something we call “Contract Execution.” This means notification, contract distribution, managing data collection and obtaining signatures on contracts and forms electronically.

You see, despite all the development in CMS, EMS, and CRM, over the last decade, most businesses still take this last step using “paper,” like they have been for 4,000 years. They print out agreements, put “sign here” tabs on them, and physically move it from place to place so people can sign. Then they scan everything back in when done. There is no real control or visibility in this manual process.

In order to do this electronically we need to connect people together in a trust relationship that spans beyond the walls of the Enterprise. It requires a businesses to think about enabling their customers to be brought into the loop collaboratively, but with control and security.

This requires Enterprise 2.0 technology, thinking and really important ? Enterprise 2.0 PROCESS adoption. To automate this”contract execution phase,” DocuSign does not create a “social network.” Rather, our customers use DocuSign to quickly create and manage ‘transaction networks’ where people come together to authenticate and close deals online faster and more reliably that is possible with paper.

The Evolution into the Enterprise 2.0 e-Signature Processes

Let’s say I need us to sign a contract with three others to lease some equipment. In “pre-Web” days this was accomplished by using fax or overnight express: “When it absolutely positively has to be there overnight.” You would print, place sticky tabs, go to the FedEx box and wait. Then, you’d rekey, scan, and store paper. Ten day total turnaround. Not Web 1.0, not Web 2.0, just “planes, trains and automobiles.”

Then in 1990s we started using digital signature technology for signing. This was installed software that let us encrypt documents if we installed enough stuff on our systems. You buy your digital certificate, and convince me to buy one. Then digitally sign your document and email it to me. I’ll sign. Then perhaps you forward it to someone else – all still disconnected from each other, but now we are moving documents electronically, not via paper. What happened:

It did not take off ? it was complex software to install, not user centered design

It did not have central visibility or control

PKI authentication has a single point of failure — its authentication model is a hub and spoke. You authenticate at the hub, and then everyone has to believe it is you. NOT the way authentication happens in the organic world. In the organic world we authenticate each other when and how we want depending on the circumstances ? mesh authentication ? no single point of failure. This is technology centric design, and was focused on the EVENT of signing, not the process.

Today, a new e-signing strategy has emerged. This new strategy is based on the fact that we are all on the same wire. This new strategy is a Web 2.0 approach ? it is different because the design focuses on the PEOPLE in the transaction and how they interact when transactions span enterprise boundaries, not just the servers. It focuses on managing the process, not just a single event. This Web 2.0 technology solving Enterprise business issues across the enterprise boundaries is characterized by the following:

It is based on Web services ? no software to install, it lives in the cloud. And interestingly this function “signing” is best serviced from a neutral 3rd party and NOT behind a firewall.

It values the user experience, recognizing that “usability drives use” ? mirroring the paper paradigm but going way beyond what is possible with paper.

It values the process of bringing people together electronically to reach agreement on the same document ? put another way, it allows one to easily create a transaction network for an agreement, defining who is to sign, how they are to authenticate, and in what order ? then takes the steps to bring everyone together to agree no matter where in the world they are.

It authenticates users organically ? by allowing senders to define how they want signers to authenticate on a case-case basis. No hub and spoke; mesh.

It also remembers relationships between signers. So if I have signed with you before, the fact that I have a trust relationship established there is known, and I can choose to rely on it or expand it more.

And very importantly for enterprise, there are dramatic positive business effects of using it. Doubled close rates, reduction in costs by 80%, and a core part of a green initiative. What’s more it engages customers partners into longer term relations.

This approach is USER centered design, and is focused on managing the PROCESS of interaction to reach agreement. So, DocuSign delivers a solution that leverages a number of Enterprise 2.0 examples:

Open web service SOAP interface that uses XML to send, sign, control, and collect data during a contract execution process

It creates “transaction networks” designed with the sole purpose of executing agreements by connecting people anywhere in the Web

Highly customizable transactions can be created — by end users, not requiring IT Mesh Authentication – using different forms of authentication on a case – case basis

Signers are given a secure storage account/view where they can aggregate their important contracts for free

So, DocuSign offers one type of “interactive network” –- one with a narrow focus to close transactions. I’d argue there is a spectrum with online “interactive networks,” ranging from Social Networking on one end of the spectrum to “transaction networks” on the other end.

Types of ‘interactive networks’ compared

DocuSign can enable a complete end-end transaction from CRM through storage; across the enterprise. To take advantage of this, businesses need to think deeply about the whole process, not just a portion of it. It does no good to automate most of the process, only to turn to paper half-way through -– it must transform the way it thinks about getting things done.

So, DocuSign gives an enterprise a solid set of reasons WHY they should construct interactive networks with their customers and suppliers to close transactions, and why they should care about Enterprise 2.0…the best reason of all ? Profitability.
