ESIGNControl, a custom DocuSign application specifically designed for Apple® iPhone users by Smart Mobile Solutions, further extends this rich feature set. DocuSign Version 10.1 At-a-Glance

Automatic Conversion of Adobe® PDF Form Fields. Now, when uploading Adobe PDF forms into the DocuSign system, the service automatically recognizes and converts all PDF form fields—including text boxes, radio button groups, drop downs and check boxes—along with their attributes, directly into secure DocuSign fields that can be assigned to specific recipients. These fields can be manipulated without any additional software, and the forms can be saved as templates in the DocuSign online forms library and shared with all account users.

DocuSign for Salesforce New Enhancements. Salesforce users now have access to all functionality DocuSign offers from inside Salesforce. Salesforce users can use DocuSign to send any document for signature as easily as sending email from Salesforce. Unique to DocuSign is the ability to drag and drop form fields associated with Salesforce data directly into documents, enabling these documents to collect data during the signing process and automatically update Salesforce in real time. This new capability eliminates rekeying of information and dramatically streamlines the sales process.

In addition, users can set up DocuSign for Salesforce accounts and manage users within the Salesforce application through the new DocuSign Admin Tab. Users can be up and running in a matter of minutes with no new user interface to learn. These new capabilities are expected to be released through the Salesforce Spring Update on March 6, 2010. Designed for Mobile™: DocuSign’s Designed for Mobile signing process enables smartphone users with data plans and internet access to view and e-sign documents from their Apple iPhone, Windows Mobile, Google Android, and Blackberry phones. With no app to download, DocuSign users simply navigate to DocuSign and sign in by clicking the “I am on a mobile device” link to see their status console optimized for mobile browsers.

Fax Support: Signers can now elect to print and sign on paper, returning the documents by faxing them back into the DocuSign envelope. For example, notarized documents can be executed on paper and returned securely to the sender through the DocuSign transaction, and stored electronically.

Signer Attachments: DocuSign users can now request additional documentation from their signers such as a copy of a driver’s license, W-2 or other required documents right from the DocuSign envelope. Signers can upload or fax any of the required documents and complete the transaction online, creating a secure transaction with all necessary documentation inside the DocuSign envelope.

Signature Sizing: DocuSign users can now easily re-size their electronic signature and initials to fit into smaller forms. The resulting signed documents are neater and easier to read – no more information covered by an electronic signature.

DocuSign Lite: DocuSign Lite allows anyone to send a document to be signed electronically with an e-signature — completely free. Telatron’s Business Challenge

Every summer, the student loan consolidation market heats up due to a jump in interest rates that take effect July first of each year. Many banks turn to Telatron’s call center business to capture as much of this loan consolidation business as possible during this time.

With over 30 IT professionals, Telatron can develop application software in support of their customers’ marketing programs, including the loan consolidation applications that enable call center representatives to generate a PDF loan package and email to the customer on the fly.

While Telatron was able to keep up with the call center volumes, they ran into several challenges when trying to complete the loan consolidation process, including:

Speed. Across different markets, businesses typically receive only 25%-40% of the documents started on the phone or online. For Telatron, document turnaround took five days or more.

Errors. Often when a customer is left to navigate the document, signatures or initials are inadvertently omitted. This results in rework, adding additional time and cost for the transaction.

Cost. Domestic overnight express costs range from $16 to $24 round trip depending on the business. These fees can be $100-$150 round trip for international overnight documents. Handling these documents and re-keying information due to errors can cost $25-$30 per hour.

Compliance. Paper documents must be handled carefully and filed for audit compliance using a labor-intensive process. The cost for this process range from $25-$50 per hour and create work for entire departments.

DocuSign Provides an Electronic Signature Solution

Telatron knew that electronic signatures could dramatically improve this process and evaluated whether to build or buy the eSignature technology.

Telatron soon learned that, unlike other IT applications, an eSignature solution must adhere not only to technological requirements, but also legal requirements. In addition, it was important that the solution have powerful integrated authentication tools to enable positive identification of the loan applicants.

The mix of technology and legal framework can require specific types of personnel knowledgeable in cryptographic solutions, and counsel familiar with ESIGN, UETA, UCC, and other legal parameters. In addition, due to the complexity of the actual document handling process, the system must be developed in a way that both provides a seamless, easy to use customer experience, and at the same time, is legally binding—a delicate balance that can require extensive and continuing end-user testing and validation.

Telatron chose to integrate DocuSign Corporate Edition Enterprise Electronic Signature Service into their existing loan consolidation applications.

Using Telatron internal IT staff, Telatron integrated the DocuSign service into their existing call center/PDF generation applications in fewer than two weeks. Production ready in fewer than three weeks, Telatron eliminated inbound paper processing, did away with signing errors and shortened the turn around time from more than five days to less than an hour.

Telatron can scale with market demand to serve their banking customers more efficiently. Additionally, the integration of DocuSign improved their bottom line transaction return rate from 20% to an estimated 65% or more. As a result of reducing the transaction turn time, Telatron has shortened their cash flow cycle as they can get paid as soon as they transmit the loan rather than waiting for 10 days as they did in the past.

So how do we send a document with Zipform 6 using the templates feature?

In Zipform 6:

• Click on file and choose “E-Signature”
• In the “E-Signature” selection window, select your documents
• Click “Send to DocuSign” button… which takes you to DocuSign

In DocuSign:

• Click the “Documents” button
• In the Documents window, click apply a template to your document. If you do not have any templates, you can learn how to create and use templates with DocuSign
• Choose the appropriate template and click the “OK” button

This brings you back to the documents screen. If you’ve completed adding documents and templates, press “Next”

In the Recipients’ screen:

• Add recipients’ names and email address for each signer’s role (ex. Signer 1, Signer 2, etc.)
• Add your name and email address if you need to sign as well
• If your recipients share an email address, enter each recipient’s name and the shared email address.

You can use the drop down lists to assign a signing order to your signers.

Next, enter the message you want to send your customer in the notification email.

Your template should automatically apply appropriate signature, initial, date, address and phone number tabs for the signers.

Finally, review the tabs and edit as necessary before you send.

You review and send, then your recipients click and esign. It’s so fast, it saves you time!
